Portugal Sketching Retreat – Terms & Conditions

1. Registration & Payment

A 25% deposit is required to secure your place. Registrations are processed on a first-come, first-served basis.

The remaining balance will be divided into two payments:
 • 50% of the remaining balance due 210 days before the retreat start date (February 14, 2026)
 • Final 50% due 120 days before the retreat start date (May 15, 2026)

Invoices will be emailed before each due date according to your selected payment method.
Payments will be invoiced in EUR or USD, based on your chosen payment method and the exchange rate at the time of payment.

2. Cancellation & Refund Policy

  • Deposits are non-refundable.
  • If you cancel before 120 days prior to departure, any payments made (excluding the deposit) will be refunded.
  • If you cancel within 120 days of departure, no refunds will be issued unless your spot is filled, in which case a partial refund may be considered.
  • In the unlikely event that the retreat is canceled by the organizer, a full refund (including the deposit) will be issued.
  • No refunds will be given for late arrivals, early departures, or missed activities during the retreat.

3. Travel & Insurance

  • Participants are responsible for arranging their own flights and transportation to the retreat location.
  • Travel insurance is strongly recommended to cover unexpected cancellations, health emergencies, or travel disruptions.
  • The organizer is not responsible for any personal loss, injury, or damage incurred before, during, or after the retreat.

4. Accommodation & Room Selection

  • Prices are based on the selected accommodation type:
    • Twin Room (shared): €2,995 EUR
      Private Room (En-suite): €3,695 EUR
  • Twin Share rooms are allocated on a same-gender basis unless a specific roommate request is made.
  • Room assignments are confirmed upon full payment and are subject to availability.

5. Itinerary & Activities

  • The retreat schedule is subject to change due to weather, unforeseen circumstances, or the discretion of the organizer.
  • Activities and workshops are designed for all skill levels, but participants should be prepared for walking and outdoor sketching sessions.
  • Any personal expenses, meals outside the provided itinerary, and optional excursions are not included in the retreat price.

6. Conduct & Responsibilities

  • Participants are expected to conduct themselves respectfully towards fellow participants, staff, and local communities.
  • The organizer reserves the right to remove any participant who engages in disruptive or inappropriate behavior without a refund.
  • Participants are responsible for their own belongings. The organizer is not liable for lost, stolen, or damaged items.

7. Force Majeure

  • The organizer is not responsible for cancellations or disruptions due to force majeure events, including but not limited to natural disasters, pandemics, strikes, or travel restrictions.
  • In such cases, efforts will be made to reschedule or provide alternative solutions, but refunds are not guaranteed.

8. Agreement
By registering for the Portugal Sketching Retreat, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
